No Bilingual/Multilingual Skill Requirement/Preference No Type of Recruitment Definition General Public - G Job Type Definition Pay Band 03 Job Description Virginia Western Community College is accepting applications for a part-time, Administrative Assistant (Administrative & Office Specialist III) position in the Marketing Office and Institutional Advancement. This position provides essential administrative support for the Marketing Office and Institutional Advancement. A successful employee will have impeccable project management abilities, customer service skills, as well as knowledge of state procurement policies and how to use a wide variety of internet and computer software. This position serves as the primary procurement officer for the IA division, maintaining eVA requisitions, orders and receipts for IA, the Marketing Office, the Grants Office and the Educational Foundation (if needed). This position serves as the primary administrator of the college's scheduling calendar software, assisting campus users and off-campus users in booking rooms, renting space and coordinating event schedules. This position manages requests for and tracks Marketing Office projects and assignments, operating budgets and marketing metrics. This position manages inventory of marketing materials such as programs, brochures, folders, promotional materials, etc. This position provides front-desk reception in the Marketing Office to assist students, employees, visitors and manage requests for projects. This position provides support to the Special Events and Social Media Coordinator at the Commencement Ceremony and on other special events as needed. Occasional nights and weekend work as required by events. This position supports the Director of Marketing and Strategic Communications by monitoring and tracking media coverage to share as appropriate. This position provides other assistance for the department as assigned such as proofreading, etc. Minimum Qualifications Associate's degree or equivalent combination of education, training and/or experience required. Excellent customer service and personal skills. Excellent organizational skills. Timeliness and promptness. Experiences supporting special events. Computer skills including Microsoft Office products and ideally, Adobe Suite. Computer savvy and ability to learn details of calendar scheduling software. Project management experience. Preferred Qualifications Bachelor's degree or equivalent combination of education, training and/or experience. College or state agency experience. Experience working with state procurement system. Special Requirements This is a part-time position, limited to working no more than 58 hours per two-week pay period. Selected applicant will be subject to a background check of driving, credit, and criminal history as a condition of employment.
