Coordinates and supports VTCSOM Clinical Science sessions for years 1 - 4. Provides support for all required software products and course management systems. Coordinates the collection, organization and reporting of all data required for students and faculty processes for the clinical science domain. Coordinates VTCSOM Longitudinal Ambulatory Clinical Experience(LACE) and ultrasound recruitment, orientation, materials and communication. Collaborates across units of the institution, VTCSOM Carilion Clinic clerkships, coordinators and various departments. Will work primarily with Virginia Tech Carilion School of Medicine clinical deans to facilitate student learning and clinical experiences.
The job duties of the Administrative Coordinator include, but are not limited to, the following:

  • Communicate with the VTCSOM faculty and other stakeholders on the development and delivery of clinical science activities to integrate into the learning strategies and assessment processes of the curricula.
  • Organize LACE orientation and prepare materials for new LACE preceptors. Paris LACE preceptors with students and provides each with contact information. Maintains communication with faculty and students throughout LACE commitment and addresses any scheduling needs/conflicts that arise. Administers annual LACE survey to preceptors and gathers data/feedback to implement in the following year.
  • Organize, prepare and curriculum map VTCSOM HSSIP and Domain Day sessions.
  • Organize VTCSOM M3 and M4 orientation.
  • Process send-outs of assessments and evaluations via one45 software.
  • Participate in product and vendor training to maintain technical expertise required to effectively facilitate the use of clinical science software and equipment.
  • Communicate with VTCSOM students to aid in schedule changes.
  • Train students on appropriate clinical skills processes involving stadardized patients (OSCE) encounters and the use of required Canvas software for the VTCSOM Clinical Science Domain.
  • Create and manage Canvas courses for the Clinical Science Domain. Posts objectives, assignments, course materials, schedules, etc. Utilize the Canvas course as a means of communication with students by sending out announcements/reminders of assignment due dates, upcoming session requirements and any scheduling changes.
  • Hold students accountable to OSCE policies and procedures.
    Minimum QualificationsEducation: Associate degree or equivalent combination of education or equivalent 4 years of experience required.
    Experience: Experience in an academic setting preferred.
    Other Minimum Qualifications: High level of organizational skills and attention to detail. Must possess the ability to efficiently manage multiple projects and respond to changing priorities. Excellent teamwork and communication skills a must.
