Job Description:

The Human Resources Assistant will support the VP of HR and the entire HR team.Human Resources Assistant assists with the administration of the day-to-day operations of the human resources functions.This includes carrying out various operational and administrative responsibilities in some or all of the following areas: Human Resources Information System (HRIS), data management, records management, workers compensation and employee on-boarding.The HR Assistant will support the entire HR team in assisting on completing projects and task as needed.MINIMUM EDUCATION, TRAINING, REQUIREMENTS AND PREREQUISITESHigh School diploma or equivalentTwo years office/administrative support experienceOne-year Human Resources office/administrative support experience preferredMicrosoft Office proficiencyValid Virginia Drivers LicenseSatisfactory Driving Record in accordance with the Driver Requirements policyKnowledge of business office operations and administrative operationsProblem solving skills - ability to identify and resolve problems in a timely manner and gather and analyze information skillfullyInterpersonal skills - ability to maintain confidentiality, remain open to others ideas, and exhibit willingness to try new thingsWritten communication skills edits work for spelling and grammar, presents numerical data effectively and able to read and interpret written informationOral communication skills speaks clearly and persuasively in positive or negative situationsPlanning and organizing skills - ability to plan and organize work, use time efficiently and develop realistic action plans to accomplish tasksQuality Control ability to demonstrate accuracy and thoroughness and monitor own work to ensure qualityAdaptability - ability to adapt to changes in the work environment, manage competing demands and deal with frequent change, delays or unexpected eventsDependability - consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performanceAbility to actively promote and personally observe safety and security procedures and use equipment and materials properlyAbility to identify process improvements and implement.SPECIFIC DUTIES AND RESPONSIBILITIESEssential Functions:May be required to perform any of the following duties:Fully supports Human Resources team with projects, training, benefits, health & safety, general administration and all areas of HR.Maintains confidential personnel, medical and criminal files noting any missing documents and regularly communicating file status to the necessary partiesMaintains and updates Human Resources Tracking Spreadsheet to oversee the administration of performance evaluations and required record checksAssists with new employee onboarding by gathering new employee information from sites, monitoring forms for accuracy and forwarding documents to proper individuals for approval and payroll processingMaintains records for employees, independent contractors, interns and Board of Directors.Collect Child Protection Services (CPS)requests, sworn disclosure forms, fingerprint requests, etc.Maintain training documents (e.g., CPR, CPI, First Aid, Safety Care, Human Rights Test, etc.).Coordinates the processing of employment status changes across databases and electronic listsMonitors employee service dates and updates employee records annually by attaching job descriptions, employee input forms, and any additional forms necessaryReviews new hire paperwork for accuracy; prepares necessary documentation; paperwork; and creates personnel records`Provides IT notification of new hires, to ensure newly hired employees are in receipt of e-mail accounts and network log-insProvides IT notification of changes and terminations to ensure employees are placed in proper distribution groups upon hire or position change and are removed from distribution groups at terminationCloses terminated employee files and provides notification of termination to relevant partiesConducts phone work (e.g., answering administrative office telephones, conducting employment verifications, scheduling appointments, etc.)Establishes and distributes various reports and documents to provide current Human Resources informationProvides training and assistance to administrative support staff as needed.Ensures Human Resources forms are updated and that site administrative designees have the appropriate updatesPrepares misc. expenditure formsPrepares, sorts and distributes mail; receives packagesPurchases, inventories and stocks general office supplies and productsTracks and collects annual employment letters for Minnick School to ensure all school employee have an updated letter in their filesPrepares VEC reports electronicallyMaintains and distributes agency holiday listsPerforms data entry (i.e., HRIS input - new hires, emergency contact information, workers compensation, supervisor changes, etc.)Processes criminal records checks and runs DMV reports as needed.Reviews misc. data for accuracy; tracks results; maintains checklists; processes and files informationAssists with preparation and planning of misc. agency eventsTravels to local and distant locations as neededPerforms other duties as required and assigned
