Job Description:

Assignment location-

Telework most days, possibly 1-2 days per week at SSC Facility: 147 Daleville Centre Dr, Daleville, VA 24083

Working Hours

40 hrs / week, approx. 8:30-5pm schedule

Duration - 3-6 months

Equipment to be used

Personal computer, to be provided by us (SSC)

Computer software to be used

Standard MS office/windows (including excel and word); SSC administrative system software such as State of VA's procurement software, "eVA". Simple use, we will train.

Knowledge/ Skills/ Experience/ education Required

General professional office/business experience; filing and document management both physically and online; ability to plan complex appointments using MS Outlook; Ability to take professional minutes at Board meetings, and run zoom meetings (open meetings, take roll call, share screens, etc.). Familiarity with office equipment, furnishings, and basics of building operation to be able to liaise with landlord and service providers; basic ability to track projects, identify problems with progress, and report to management.

Duties/ Responsibilities

* Manage the Director's calendar, arrange complex meetings in collaboration with attendees * Manage documents and filing, both physically and online * Place orders for office items, supplies, furnishing and equipment (with order details to be separately specified and provided - the temp is only required to enter orders completely in the system) * Manage receipt of ordered items * Monitor and respond to building/facility issues (broken items, leaks, etc.) to alert Director, and to communicate with landlord and service providers. Detailed facilities management experience not required. * "host" board meetings, take accurate minutes, prepare summaries, communicate with attendees, etc. * Monitor ongoing office/facilities "projects" such as installation of new furnishing, receipt of new computers, etc. Detailed technical knowledge is not required - the duty involves tracking and reporting on activity, contacting vendors/stakeholders for status updates or to discuss problems/delays, etc. * Other similar duties as assigned.
