Position Description: Step into an instrumental role as a Client Service Coordinator with a Private Wealth Financial Advisory practice with Ameriprise Financial. This role will help to fulfill the company's mission with a focus on fostering professional relationships with peers and with clients.The Client Service Coordinator supports the many different tasks for which the practice is responsible and ties directly to the overall business plan of the practice. This position allows the advisors the assurance they need to know that the practice is being maintained and supported within Ameriprise Financial guidelines.This role provides administrative support by scheduling meetings, preparing presentations, preparing client communications and tracking correspondence. This role is responsible for responding to ad hoc requests, coordinating/tracking projects and/or managing business-as-usual projects such as filing, copying, scanning, and maintaining client data and records.As a Client Service Coordinator, you will be instrumental in creating and delivering a unique client experience that defines and differentiates the practice. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities. Electronic filing, movement and reconciling from client meeting Contact management system maintenance Checking for accuracy Confirming necessary fields are input and up to date Maintain campaigns Drafting correspondence Calendar management (client meetings from Service Model, personal meetings, and internal meetings) Confirming client meetings and administrative meetings (phone, email, or a combination of both) Include a reminder for clients when we need their data or other follow up items Marketing activities and sponsorship (contacts, staying up to date on process, compliance protocol, monthly submissions, agreements) Social media presence Website maintenance Mass mailings, both email and physical Warmly greet clients upon arrival and extend hospitality Inventory management - postage, office supplies, kitchen, coffee, and hydration Fax management - incoming and outgoing Creating and documenting, UPS labels Meeting preparation steps - Review client information and submit to Key Management Group Print hard copy materials Meeting follow up steps - Client Meeting Outcome ownership Second set of eyes for the advisors Maintain files and records in accordance with the records retention policy Check-in calls on follow up items Answering incoming calls Document client contacts/calls Manage office level advisor texting program Manage the wow client experience (greeting cards, gifts, ecards, etc.) Manage mail and funds log Maintain the office for cleanliness, kitchen management, etc. Work with building maintenance to resolve issues Scanning documents and storing for compliance and easy reference Assist the Advisor and fellow team members with necessary projects Systematic payout tracking Practice tracking Continuing education, licensing, and registration for licensed team members, tracking and renewing Correspondence with bookkeeper Office filing and operational maintenance General Expectations & Characteristics: Physical presence in office during regular office hours Humility Patience Honesty and Integrity Professionalism Mindset of service to others.
